How do I archive or delete a Checklist in the Admin Portal?
If you no longer want a checklist to be available to Mobile App users, but you want to keep the data and previously completed checklists, you can archive it instead of deleting it.
Archiving or deleting a checklist
If you no longer want a checklist to be available to Mobile App users, but you want to keep the data and previously completed checklists, you can archive it instead of deleting it.
To archive a checklist:
- Go to ‘Manage Checklists – ‘Checklists & Checklists Groups – Checklists Groups’.
- Find the checklist in the table.
- Select ‘Archive’ from the 'Options' menu at the right side of the row or open the checklist details page and click the ‘Options’ button in the top right corner of the page, then select ‘Archive’.
- A confirmation pop up will appear, asking if you are sure you want to archive the checklist and all it’s associated data
- If you are sure, click 'Yes'.
To delete a checklist:
- Go to ‘Manage Checklists – ‘Checklists & Checklists Groups – Checklists Groups’.
- Find the checklist in the table.
- Select 'Edit' from the 'Options' menu at the right side of the row.
- In the checklist details page that opens, click the ‘Options’ button in the top right corner of the page.
- Select ‘Delete’.
- A confirmation pop up will appear, asking if you are sure you want to delete the checklist and all it’s associated data.
- If you are sure, click 'Yes'.

Notes
- If you archive a checklist, it will not be available in the Mobile App for audits and inspections and it will not appear in any reports you run. All existing site data is however still stored (archived) in the database. If you make the checklist active, the checklist and it's data will be available again.
- You can make an archived checklist active again by following the steps in “To archive a checklist’ but selecting ‘Make active’ instead. You need the ‘Checklists – Activate/Archive’ role (permission) to be allowed to archive and make checklists active again.
- Important! DO NOT DELETE A CHECKLIST UNLESS YOU ARE SURE YOU WANT TO DELETE IT FOREVER! You can ‘Archive’ a checklist instead to make sure you do not accidentally lose any data.
