Release Notes - Admin Portal Version 4.8.0.1 

With the Angular migration and AWS infrastructure upgrades behind us, we set out to tackle UX/UI improvements. We enlisted experts in UX design from OCAD University in Toronto for a review of Certainty and based on their findings and feedback from the user community we reorganized the navigation slightly and implemented some UX/UI changes. We also added several other improvements requested by users and updated terminology and field labels to improve clarity and consistency. You will also notice improvements to Roles (permissions) and added Translations functionality. 

Our goal is as always to make Certainty more intuitive and easier to use and to help new users learn and get onboard faster. This time we targeted the following: 

  • Navigation & UX/UI improvements
  • Requested improvements by area
  • Terminology & translations
  • New and changed roles
  • Deprecations/removals
  • Various bug fixes

What's new in version 4.8.0.1?

Navigation & UI/UX Improvements

Main navigation

  • Slightly larger workspace area.
  • The logo in the top left header now links to the Dashboard page.
  • The smaller logo in the bottom left corner of the screen takes you to the Certainty website. 
  • If you click the 'Account Settings' icon in the top right corner you will find an 'About' option that displays the current version.  
  • Checklists and Actions tools are now grouped together in Manage Checklists and Manage Actions and separate from system set up and maintenance tools in the Administration area. Tools within each area are organized according to frequency of use. Previous permissions still apply.

UI/UX Improvements

  • A 'Help Center' link was added to the menu that opens if you click the 'Account Settings' icon or your name in the top right corner of the screen. A link to the 'Field Users' category of the Help Center is also available in the Mobile App and .mobi version 4.8.36 and later. In the 'Help Center' you can search or browse articles that answer common questions about Certainty.  
  • Focus now shifts to mandatory/required field (long forms only) when validating on save.

  • The most important user actions are better emphasized in the UI - Add and Edit buttons stand out better.

  • All options menu (...) options are now available in details views in Users, Sites, Actions and Completed Checklists.

  • Improved visibility of Power BI Dashboard. The view can now be expanded and fits the window. There is also a zoom control that is easily accessible. 

Requested improvements by area

Dashboard
  • Improved graph widgets and new "Open in new window" option.

  • Graphs are now easier to resize and move around.

  • Graph labels are easier to read and appear when moused over. 


Manage Checklists

  • Active and Archived Checklist navigation and grids are now combined in one grid with a filter for Active (default), Archived and All.
  • New options menu and guidance for ChL Builder users to add first Page, Question Set and Question when ChL is new and 'empty'.

  • Small change to order of fields in the main Checklist Add/Edit form.

  • The cog icon in Checklist Builder was replaced with ... (options) icon to prevent confusion with the Settings icon. 

  • Checklist preview in Edit Checklist page now looks like the app/.mobi users view of the Checklist, is interactive and includes all checklist elements including Tooltips.

  • In Checklist Builder conditional elements, page is selected first, then question set etc and other options are disabled until the higher level is selected.

  • New options added to Checklist Notifications (recipients):

    • External Email Address

    • Email from Answer - works with text box, text field and user answer types. Text box and text field works if an email address is added in the field by the Mobile app user. If the answer type is user, the Certainty user email is used. 

  • Checklists now get assigned to *All Checklists group by default so they show in Manage Checklists/Checklist Groups/*All Checklists.

  • New 'View File' button added in Completed Checklists subgrid.

  • Checklist Groups is now the name of what was previously 'Groups' to differentiate from Site Groups, User Groups and Role Groups.
  • The navigation link to Checklist Groups is now in a tab next to the Checklists tab like in Sites & Site Groups and Users & User Groups.
  • Schedules and Components were renamed Checklist Schedules and Checklist Components for greater clarity of purpose.
  • Checklist Notifications & Actions were renamed Checklist Rules and moved from Administration to Manage Checklists. 
  • The Notifications tab in Checklist Rules (former Action Notifications and Checklist Notifications and Actions) are now called Automatic Notifications. 
  • Administrators can now lock dates for checklist completion and limit allowed date changes (x days before/x days after) so mobile app/.mobi users date changes can be restricted for individual checklists.
  • Library was moved further down in the L2 navigation due to it’s less frequent use and the label was changed to Checklist Library to differentiate it from Media Library. 
  • Previous permissions still apply.
  • Checklist editing restrictions based on users site access and ability to assign owners/editors to individual checklists and publishing permissions separate from editing permissions is in development for version 4.8.02.  
Manage Actions
  • Actions now have a Manage Actions area where all tools related to Actions can be found. 
  • New 'View File' button added in Actions/Actions subgrid.
  • Action Notifications were renamed Action Rules and moved from Administration to Manage Actions. 
  • The Notifications tab in Action Rules (former Action Notifications) is now called Automatic Notifications.
  • Action Types and Action Priorities are now in Actions and not in Action Workflows anymore as they apply to all Actions, not just Actions that have an associated Action Workflow. 
  • Comments are now added to Actions in the Actions / Comments subgrid instead of in the main Actions form.
  • Previous permissions still apply. 
Checklist & Action Workflow Steps
  • The styling and font of the Add/Edit pages for workflow steps was updated and the form is now split in 4 progressive, stepped sections with more suitable labels and improved user selection layout. 

  • The default selection in Action WF Steps was changed from Visible to Editable and Hidden was removed as an option for the title field.

  • New English terminology/labels for various fields makes the form easier to fill out. 

  • 'Hidden' for the title field in Action WF Steps and saving Action with the field empty is no longer allowed to prevent users from creating Actions in the Mobile App and .mobi without Titles

Administration 
  • System set up and maintenance tools in Administration are now separate from the Checklists and Actions tools.
  • The Administration/Settings/Other Settings tab was changed to Administration/Settings/System Settings to better describe the settings that are managed in this tab.
  • The Administration/Settings/OCR Settings tab was changed to Administration/Settings/Completed Checklist Settings to better describe the settings that are managed in this tab. 
  • Site Add/Edit form - now only shows the map when user selects 'Lookup address'.
  •  Previous permissions still apply.

Terminology & translations

  • Various changes and corrections of inconsistent terminology throughout the system will help users get on board faster.
  • New labels were added with standard English translations to allow for better customization of terminology and improve the experience for non English speaking users.

A note on the translations update: If terminology in your instance of Certainty was previously translated to other languages or if you use custom English terminology, the translations upgrade script for v 4.8.0.1 will not impact your custom terminology and translations. Any translated terms will remain as before the upgrade. New labels will have an English translation only. To ensure your system remains consistent and compatible with future changes and user documentation some label translations in your instance may have to be added or updated. New and changed roles

  • Role names were updated to better reflect permissions (standard English translations).

  • The 'Checklist Archived - Activate' role is now 'Checklist - Archive/Activate' to better describe the permission.

  • The 'Checklist Builder' roles were renamed Checklists Active - Access/Edit/Delete as there are now also roles for Checklists Archived - Access/Edit/Delete.

  • The 'OCR Settings' role is now called - 'Completed Checklist Settings'

  • Adding Roles to a Role Group is now faster with a new selection control.

  • New Roles (permissions) were added:

    • Action Types - Access/Edit/Delete

    • Action Priorities - Access/Edit/Delete

    • A new Checklist - Publish role is in development for v 4.8.02

Deprecations/removals

  • The following unused roles were removed from Administration/Roles and Role Groups and have been replaced with other functionality.

    • Reports Cubes

    • User Interface Translations

    • Reports - Administration

    • Print Blank Checklists (only Certainty Software Admin is allowed this role)

    • (OCR) Templates 
  • (OCR) Template L2 navigation link removed as this has been replaced with other functionality.
  • Unused (OCR) Template terms were removed from Translations.
